Project Prioritization at Solano College

The Technology Services Department has established the Enterprise Project Information Center (EPIC) to provide a structured and transparent process for managing the influx of technology project requests at Solano Community College (SCC). The EPIC intake process is designed to guide stakeholders through identifying the key elements needed for successful project delivery, including strategic alignment, funding requirements, resource needs, risks, and timing considerations. All project proposals will be reviewed by Technology Services and appropriate governance groups (STAC and Cabinet). Once approved and prioritized, projects will be scheduled for implementation in alignment with SCC’s institutional goals.

Submit New Project Request

Frequently Asked Questions

A project is a net new or transformational effort with a defined scope, objectives, timeline, and deliverables. Projects typically introduce new capabilities, enhance existing services in a meaningful way, or drive institutional change, and often require planning, coordination across teams, and formal governance.

A Helpdesk request is for routine, operational work that supports or maintains existing services. These requests are typically well-defined, repeatable, and handled through standard support processes without the need for formal project planning or cross-functional coordination.

Submit a proposal when your effort represents a net new initiative or work product with a defined scope, clear objectives, and an anticipated timeline. Proposals are required for efforts that deliver a distinct product, service, or capability, involve cross-functional collaboration, or introduce meaningful changes to institutional processes, systems, or technology.

Examples include ERP enhancements or upgrades, compliance or regulatory initiatives, IT infrastructure improvements, system integrations, enterprise software implementations, and large-scale security initiatives.

Submit a Helpdesk request for routine, operational tasks that support existing services and do not introduce new functionality or require formal project governance. These requests are typically well-defined, low risk, and can be completed within established support processes without the need for cross-functional coordination, design, or formal testing.

Examples include password resets, installation of standard software, minor report adjustments (such as adding or modifying a field or filter), and simple system configuration changes within existing functionality.

Projects are scheduled based on their overall score and ranking, along with available resources and funding. High-scoring projects may be delayed if resources or budget are limited, while lower-scoring projects can start sooner if they have the necessary support. Scheduling is reviewed regularly to reflect changes in priorities, capacity, and funding.

By submitting a project proposal, the requester confirms they have obtained permission from their Dean, Director, or VP. This ensures the project has appropriate leadership support and resource authorization before entering the EPIC review process.
